Dos and Dont's of Electronic Communication with Students

DO: Use email as your primary communication tool
❌ DON’T: Rely only on text messages
Why? Email is the official communication method at OSU. Not all students have opted in to receive texts, and texts must be backed up by another method like email.

DO: Respect student privacy and preferences
❌ DON’T: Send messages to students who haven't Opted In
Why? Students must opt in to receive texts (except in emergencies). Also, don’t message students marked “confidential” in the system.

DO: Protect student data
❌ DON’T: Include sensitive info in texts
Example: Never include grades, ID numbers, or financial aid details in a text. Use secure email or university portals.

DO: Use approved tools like Beaver Hub
❌ DON’T: Use personal messaging apps for Official Communication
Example: Don’t use WhatsApp or Facebook Messenger to communicate about academic issues. Stick to university-approved platforms.

DO: Identify yourself clearly in messages
❌ DON’T: Send messages without a clear source
Why? Students should immediately know the message is from OSU (e.g., “OSU Admissions” or “OSU Alert”). This builds trust and ensures clarity.
Example (DO): “OSU Registrar: Your transcript request is ready.”
Example (DON’T): “Your request is complete.” — students won’t know who it’s from.

DO: Use texts for urgent, time-sensitive info
❌ DON’T: Use texts for general announcements
Why? Texts should be reserved for emergencies or urgent academic matters. Use Beaver Hub or OSU Today for event announcements.
Example (DO): “OSU Alert: Campus closed due to weather. Check email for details.”
Example (DON’T): “Join us for pizza at the club fair!” — use Beaver Hub or OSU Today for that.
